Brother MFC Device Setup Guide

Summary

Send It Secure is a versatile secure email service. This guide details three use cases between Send It Secure and your Brother MFC Device. You can learn how to use the Scan-to-Email feature, send messages with the Send It Secure Outlook Add-in, and send messages with the Send It Secure Printer, all from your Brother MFC Device and the Brother Control Center. This document also explains the Send It Secure SMTP Service and how to generate Access Credentials for use with the Send It Secure SMTP Service.

Use Case #1 – Brother Scan-to-Email

Send It Secure SMTP Service Overview

The hostname for the Send It Secure SMTP Service is smtp.protectedtrust.com

In order to communicate securely, all communication to the relay must use TLS encryption. In addition to TLS encryption, the relay requires authentication with a Send It Secure Access Credential.  An access credential is a randomly generated Access ID/Access Key pair associated with a specific user account.  If a username and password cannot be set by the sending application, it is also possible to authorize the IP Addresses you are sending from.

Generate Access Credentials

Only organization administrators can view, add or modify an access credential for a user.

Connecting to the SMTP Service from a Brother MFC Device

Some Brother MFC devices have the ability to scan-to-email.  In order to connect to the Send It Secure SMTP Service from your Brother device you must: set the Date and Time on your device, import the CA Certificate for Send It Secure, and complete the SMTP setup using either TLS or SSL.

Once you have completed the below steps, you should be able to use the standard Brother Scan-To-Email feature on your device to send your scanned documents via Send It Secure.

Download CA Certificate for the SMTP Service

  1. Open a web browser
  2. Navigate to https://ws.protectedtrust.com/Downloads/Brother/Protected_Trust_CA_Certificate.cer

Setup Date/Time on the Brother Device

  1. Determine the IP Address for your Brother MFC Device
  2. Open a web browser and enter the IP Address in the form, http://127.0.0.1
  3. Click the General link
  4. Click the Date&Time link
  5. On the Date&Time page, enter the current date and time
  6. Click the Submit button

Import the CA Certificate for Send It Secure to the Brother MFC Device

  1. Determine the IP Address for your Brother MFC Device
  2. Open a web browser and enter the IP Address in the form, http://127.0.0.1
  3. Click Network link
  4. Click the Security link
  5. Click the CA Certificate link
  6. On the CA Certificate page, click the Import CA Certificate link
  7. On the Import CA Certificate page, click the Choose File button
  8. Locate and select the downloaded CA Certificate for Protected Trust
  9. Click the Submit button

Setup SMTP Server on the Brother MFC Device

  1. Determine the IP Address for your Brother MFC Device
  2. Open a web browser and enter the IP Address in the form, http://127.0.0.1
  3. Click Network link
  4. Click the Protocol link
  5. On the Protocol page, click the Advanced Setting link for POP3/SMTP
  6. On the POP/SMTP page, populate the fields listed in the below table

Use Case #2 – Brother Control Center with the Send It Secure Add-in for Microsoft Outlook

Brother Control Center

Using the Brother Control Center and the Send It Secure Add-in for Microsoft Outlook, it is possible to send scanned documents via Send It Secure.  In order to accomplish this, you must set Microsoft Outlook as your default mail client and have the Send It Secure Add-in for Microsoft Outlook installed.  Then follow the below steps in the Brother Control Center to email scanned documents.

Steps for Emailing a Scanned Document

  1. Open the Brother Control Center in Advanced Mode
  2. Go to the Scan menu
  3. Select the Email option
  4. Set the options for your scan
  5. Scan the document
  6. Upon scan completion, a new Microsoft Outlook compose window should open with the scanned document attached
  7. Complete your email
  8. Set the Send It Secure toggle button to Message Protected
  9. Send the message

Use Case #3 – Brother Control Center with the Send It Secure Printer

Brother Control Center

Using the Brother Control Center and the Send It Secure Printer, it is possible to send scanned documents via Send It Secure.  In order to accomplish this, you must install the Send It Secure Printer and follow the below steps in the Brother Control Center to email scanned documents.

Steps for Emailing a Scanned Document

  1. Open the Brother Control Center in Advanced Mode
  2. Go to the Scan menu
  3. Select the Image option
  4. On the Image options dialog, set File Type to .pdf and the Target Application to Send It Secure Printer (the Send It Secure Printer must be installed to display in this list, you may need to restart your computer for it to show in the list)
  5. Set the other scan options as desired
  6. Scan the document
  7. Upon scan completion, the Send It Secure Printer window should open with the scanned document attached as a .pdf file
  8. Fill out the protected message fields
  9. Send the protected message
